About the College of Liberal Arts
The College of Liberal Arts (CoLART) is comprised of three major fields: the humanities, the social and behavioral sciences, and the fine and performing arts. CoLART is the largest college at UTEP with 23 departments and programs and over 6000 students. The college offers 34 undergraduate bachelor's programs, 24 master's degrees, and four Ph.D. programs.
Position Information
Hiring Department: College of Liberal Arts - Dean's Office
Posting End Date: Open until filled.
Hours: 40 hours per week, standard Monday- Friday 8:00am- 5:00pm, flexibility is required on evenings and weekends
FLSA status: Exempt
Earliest Start Date: 01/06/2025.
Salary: $55,000 - 60,550 annually, commensurate with experience.

This position is security-sensitive and subject to Texas Education Code 51.215, which authorizes the employer to obtain criminal history record information. A valid driver's license issued by the State where the applicant resides and insurability as defined in UTS 157 may be required to perform the position's essential functions.
Purpose of Position
Summary: Provides advanced (senior level) professional assistance for the Dean of the College of Liberal Arts. Work involves coordinating or overseeing high level administrative operations for the Office of the Dean. Works under minimal supervision with extensive latitude for the use of initiative and independent judgment and performs the following duties.
Essential Functions
Manages the Dean's daily schedule, individual meetings, RSVPs, outside campus events, weekend's engagements.
Collaborates with Assistant Dean to organize, prepare, attend, and take notes/minutes for meetings. Coordinates work with University units and private organizations. Effectively communicates with executives and management from various domestic, international, public, and private organizations. Takes and transcribes dictation and composes and prepares confidential correspondence and reports.
Scan Dean's email to identify and flag most important messages. Uses prepared replies to answer bureaucratic requests. Maintain updated Contact Groups (i.e. Chairs) and manage Inbox folders. Print attachments that require attention.
Coordinates or oversees the high-level administrative operations of the Office of the Dean. Manages the reception area for the Dean's office. Performs complex and confidential secretarial functions for the Dean(s) including word processing/typing of letters, memos, forms, policies, and procedures.
Collaborates with College Administrative Officer (CAO) on overseeing M&O funds, gifts, discretionary accounts, and travel.
Works with and assists the CAO, Assistant, and Associate Deans in ad-hoc projects.
Handles confidential information. Provides administrative support for the Dean to include telephone coverage, copier projects (including overhead preparation and/or Power Point presentations), mail handling, supply control and necessary internal and external communication.
Assist the Dean with faculty matters, and faculty onboarding, and acts as HR liaison.
Develops and maintains electronic lists of internal and external contacts, including donors, and members of the College Advisory Council.
Manages and maintains filing for the Office of the Dean and ensures files are up to date and clearly marked for easy access.
Makes travel arrangements for the Dean, including forms, and reimbursements.
Processes purchase orders, travel requests, time sheets and other business transactions in the financial system for the office of the Dean and as needed. Maintains adequate inventory of office supplies for the Dean's Office. Organizes programs, events, meetings, or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers and controlling event budgets. Assists the Dean with the review of PeopleSoft action forms such as HRMS, financial, and leave.
Receives information from other departments and compiles data for the Dean.
Performs special projects and assignments as requested by the Dean such as review PeopleSoft action forms (HRMS, Financial and Leave requests), BP Logix, purchase requisitions, contract review. Tasks can include public relations within campus and in the community.
Keeps a list of internal and external providers for different purposes.
Possesses knowledge of all Microsoft Office software and able to learn and use institutional software systems.
Complies with all State and University policies.
Performs other duties may be assigned.

Education: Bachelor's degree
and
Experience: Two years of experience related to the statement of duties and responsibilities; or equivalent combination of education and experience.
Preferred Qualifications:
Graduate degree
Five years of experience related to the statement of duties and responsibilities
Bilingual Spanish/English
