Job Summary:
Reporting to the Dean of Students, the Executive Assistant provides high-level administrative, technical and project support to the Dean of Students to sustain the role of the Dean of Students and the operation of the Dean of Students Office in a detailed, confidential and responsible manner. The Executive Assistant will also provide administrative support to the Associate Dean for Health, Wellness and Conduct and other team members in the Dean of Students Office. The position requires a motivated individual who can respond to and manage multiple competing priorities. This Executive Assistant must be able to work autonomously, be adept at prioritizing work and be able to work with highly confidential material and information. The Executive Assistant must also use independent judgment on Dean of Students matters, operate from a student-centered lens, and be able to manage information of a sensitive and private nature with empathy and care.

This is a 12-month, staff exempt (salary), 40 hour position based in Lewisburg, Pennsylvania.

Job Duties:

1. Manage and lead all aspects of confidential and complex actions and projects on behalf of the Dean of Students and other Dean of Students team members. Items include but are not limited to, operations of the Office and workflow management; preparation of confidential documents related to student conduct; managing calendars and travel logistics and documentation for the Dean of Students and Associate Dean; assisting in student policy/procedure development or revision; problem solving, fact-finding, and background research; data collection and analysis; special events planning; and ensuring timely responsive correspondence with a variety of constituents including students, parents and family members, staff, faculty, Trustees and alumni. Support executive meetings by taking and maintaining minutes as requested, facilitating timely distribution of materials and providing follow up support to address outstanding issues. Contribute to Bucknell's efforts to foster a diverse and inclusive campus community through intercultural humility.

2. Triage, manage and direct phone calls, in person and email communication regarding student matters, with students, parents and family members, faculty and staff, visitors and other key constituencies typically involving highly sensitive and confidential information. Respond to inquiries about students from external agencies. Follow all applicable laws and policies related to student records including FERPA and CLERY. Coordinate the Food Pantry and Emergency Funding communications and logistics in conjunction with the Dean. Track professional development budget and applications for travel support. Monitor Student Affairs office building conditions by working with Facilities and Housekeeping and place work orders for various maintenance issues.

3. Communicate and schedule community conduct board panels for student conduct cases and correspond with involved parties. Manage the

studentconduct@ inbox to receive and review conduct outcome completion. Coordinates record retention for the office.

4. Develop, implement and assess office systems and procedures. Provide oversight to projects and solving problems with efficiency and thoroughness. Performs other duties as assigned or required. Some evening work may be required.

Minimum Qualifications:
  • Associates Degree plus three years of professional experience in an institution of higher education, academic libraries, or similar institutions with increasing responsibility for budgeting, planning, organizing, coordinating, staffing, reporting OR 5 years professional experience in an institution of higher education, academic libraries, or similar institutions with increasing responsibility for budgeting, planning, organizing, coordinating, staffing, reporting in lieu of the associates degree.
  • One year of experience providing confidential executive support for a department head, dean, or an executive at an equivalent level.
  • Proficiency with Microsoft Office (Excel, Word, PowerPoint) and Outlook (or equivalent) for email and calendaring.
  • Excellent time management and creative problem-solving skills with demonstrated ability to manage multiple priorities and meet deadlines
  • Excellent interpersonal, written, and oral communication skills
  • Cultural competency with the ability to work well with faculty, staff and students from varied backgrounds and talents.

  • Bachelors Degree
  • Demonstrated ability to maintain strict confidentiality and exercise good judgment in the discharge of all duties.
  • Demonstrated commitment to working in and creating a student-centered office environment that is inclusive and welcoming to all students and constituencies.
  • Proficiency with quantitative data and knowledge of financial processes.
  • Proven ability to work on multiple projects simultaneously and flexibly in a deadline-driven environment.
  • Demonstrated ability to work effectively under pressure and with interruptions.
  • Ability to relate tactfully and diplomatically to a wide range of constituencies, including students, parents and families, staff and faculty and Trustees.
  • Demonstrated information-gathering skills.
  • Interest in continuous professional development and willingness to learn.
  • A proven collaborator who can work effectively within a complex and diverse organization.

The offer rate will be based on a review of the candidate's credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.
